INFORMATION CLAUSE FOR PARTICIPANTS 

International Congress of Tax Law and Financial Law Departments

"Concepts of research and teaching of tax and financial law"

Pursuant to Article 13(1) and (2) of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), referred to as ‘GDPR’ for short, the University of Białystok informs:

1. The controller of your personal data is the University of Białystok, ul. Świerkowa 20 B, 15-328 Białystok. The controller can be contacted:

• by post (ul. Świerkowa 20b, 15-328 Białystok, indicating the organisational unit of the University to which the correspondence is addressed);

• by telephone: +48 85 745 70 00

2. The Data Controller has appointed a Data Protection Officer who can be contacted via e-mail: iod@uwb.edu.pl.

3. Your personal data obtained in connection with the organisation of the Congress, including the data provided in the application form, as well as data in the form of images recorded during the Congress (in the form of photographs or video recordings) are processed for the following purposes and on the following legal grounds:

1) acceptance of registration for participation in the Congress – legal basis: Article 6(1)(a) of the GDPR; 

2) investigating or defending against claims related to the organisation of the Congress, which constitutes the legitimate interest of the Controller – Article 6(1)(f) of the GDPR.

in the case of additionally qualified participants:

3) organising the event, including in particular the registration of qualified participants of the Congress, contacting participants in matters related to the organisation of the event - Article 6(1)(b) of the GDPR;

4) fulfilment by the Administrator of its obligations under the law, in particular tax and accounting regulations - Article 6(1)(c) of the GDPR in conjunction with Article 74(2) of the Accounting Act and other specific regulations); 

5) promotion of the event or the Administrator's activities by recording images of participants and publishing photos and recordings from organised events, which constitutes the Administrator's legitimate interest - Article 6(1)(f) of the GDPR;

6) ensuring security measures by keeping a list of participants, which constitutes the legitimate interest of the Controller – Article 6(1)(f) of the GDPR;

7) keeping statistics and reports and archiving for the Administrator's internal needs related to the number of event participants, which constitutes the Administrator's legitimate interest - Article 6(1)(f) of the GDPR; 

8) archiving documents – legal basis: Article 6(1)(c) of the GDPR in connection with the provisions of the Act on National Archival Resources and Archives;

4. Providing personal data is necessary to participate in the Congress.

5. Your personal data will be processed for the period necessary to achieve the purposes related to your registration and participation in the Congress, including the period of performance of the concluded agreement and: 

1) in order for the Controller to fulfil its obligations under the law, in particular tax and accounting regulations - the period required by the relevant provisions of law regarding the storage of tax or accounting documentation, 

2) in order to pursue or defend against claims related to the organisation of the Congress - until the claims become time-barred in accordance with generally applicable Polish law,

3) for other purposes in which personal data is processed on the basis of the Administrator's legitimate interest for the period necessary to achieve these purposes, but no longer than until you submit an effective objection,

4) for archival purposes - for the period resulting from the provisions of the Act of 14 July 1983 on national archival resources and archives and the Regulation of the Minister of Culture and National Heritage of 20 October 2015 on the classification and qualification of documentation, the transfer of archival materials to state archives and the disposal of non-archival documentation.

6.    The Administrator may transfer the personal data of Conference participants to entities providing services to the Administrator, including technical and organisational services, photographic services, legal services, consulting services, financial services, as well as to other entities/persons/bodies within the scope and on the terms specified by law. In the case of participants whose articles will be published by Temida 2, the recipients of personal data will be the recipients of the publications in question. 

7.    You have the following rights in relation to the processing of personal data:

1) the right to request access to your personal data and the right to rectify it; 

2) in cases specified by law, the right to request the deletion of data, to request the restriction of data processing, the right to transfer data, the right to object to data processing;

3) the right to withdraw consent, where data processing is based on consent, without affecting the processing of data carried out prior to its withdrawal; 

4) the right to lodge a complaint with the supervisory authority responsible for personal data protection (the President of the Personal Data Protection Office) if you believe that the Controller has violated the provisions on personal data protection.

Additionally, we would like to inform you that due to the fact that personal data will be processed by the Controller for purposes resulting from the Controller's legitimate interest, you have the right to object to the processing of your personal data.
